Overview
Acts in a lead capacity to the clerical section and performs various clerical functions related to the dispatch operation and departmental operating budget. Possesses specialized skills and knowledge to ensure proper and timely payment of all Company invoices.
Essential Duties and Responsibilities
- Under general supervision, performs various functions requiring the exercise of independent judgment and analysis in developing, controlling and maintaining office routines, accounting principles, records and files.
- Performs duties to Company guidelines and established safety procedures.
- Provides work direction and conducts on-the-job training to lower grade and cross-level clerks.
- Operates personal computer and peripheral equipment for word processing, data base maintenance and spreadsheet applications. Composes complex spreadsheets, letters, procedures memoranda and forms.
- Prepares reports and graphs for management review.
- Coordinates, monitors and analyzes Region cost reports for accuracy.
- Compiles and submits revisions and inquiries to cost reports.
- Develops statistical comparison plan versus actual work volume and costs.
- Updates and modifies computer programs. Develops new computer programs for special studies, etc.
- Coordinates curtailment for the department.
- Maintains records on all Customer Operation Regions and Headquarters functions.
- Organizes and coordinates work assignments in accordance with available work force. Monitors starting and ending times relating to all aspects of employees schedules.
- Completes special projects assigned by supervisor and management staff.
- Performs various other equivalent or lower grade functions.
Contacts
Extensive contacts with various staffs and with district operating bases, including senior clerical personnel and district and department supervisors. Occasional external contacts with customers and with representatives of support businesses.
Minimum Qualifications
Knowledge of typing. Some locations may require a qualified typist. Extensive knowledge of Customer Operations and Transmissions clerical functions. Experience in Word, Excel, Access, graphics packages and other computer software programs. Basic math. Effective oral and written communication. Ability to operate calculator. Must pass a pre-qualification examination.
Physical Demands
Very Light - Occasionally lifting and/or carrying such articles as dockets, ledgers, and small tools or items weighing up to approximately 10 pounds. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing are often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required only occasionally and other sedentary criteria are met.
